  • ensuring account information is accurate;
  • all activity carried out under their accounts.

Users must notify us promptly of any unauthorised access or security concerns.


5. Minimum Age

The services are intended for business and professional use only.

Users must be at least 18 years old to create accounts or use the platform.


6. Acceptable Use

Users must not use the platform:

  • unlawfully;
  • fraudulently;

Customers are also responsible for ensuring that:

  • mailbox credentials are lawfully obtained;
  • use of IMAP or mailbox integrations complies with organisational policies and applicable laws;
  • appropriate notices and consents are provided where required.

Intelligence Software Ltd does not control the legality, accuracy, or ownership of customer data entered into the platform.


8. Email and Third-Party Integrations

Certain features rely on third-party services including:

  • Google Workspace and Gmail;
  • Microsoft 365 and Microsoft Graph;
  • IMAP and email service providers;
  • artificial intelligence and automation providers.

Users authorise these integrations at their own discretion.

Continued functionality may depend on:

  • valid third-party accounts;
  • ongoing permissions;
  • third-party API availability;
  • continued support from third-party providers.

We are not responsible for interruptions, restrictions, suspensions, API policy changes, or functionality changes imposed by third-party providers.


9. Artificial Intelligence Features

The platform may include AI-assisted functionality.

AI-generated outputs:

  • may not always be accurate or complete;
  • are provided for assistance purposes only;
  • should be reviewed by users before being relied upon.

AI-generated outputs must not be used as the sole basis for legally significant decisions, including recruitment or employment decisions, without appropriate human review.

The platform does not provide legal, recruitment, financial, employment, or professional advice.

Users remain fully responsible for decisions, communications, and actions taken using AI-generated outputs.


10. Data and Backups

We implement reasonable technical and organisational measures designed to protect customer data and maintain system backups.

  • customers remain responsible for maintaining appropriate internal business continuity arrangements where necessary.

Backup data is retained for limited periods in accordance with our Privacy Policy.

  • fees remain unpaid;
  • these Terms are breached;

  • continued access creates legal or security risks;

Users may stop using the services at any time subject to any contractual commitments.


16. Customer Data Following Termination

Following termination of services, customers may request export of their data for a period of up to thirty (30) days following termination, subject to:

  • applicable legal obligations;
  • the terms of the applicable customer agreement;
  • all outstanding fees being paid where permitted by applicable law.

After the applicable retention period, customer data may be securely deleted from live systems and backups in accordance with our retention policies.


17. Security Disclaimer

While we implement reasonable technical and organisational security measures, no online platform, software system, or method of electronic transmission can be guaranteed to be completely secure.

Users acknowledge and accept the inherent risks associated with internet-based services.


18. Indemnity

Customers agree to indemnify and hold harmless Intelligence Software Ltd, its directors, employees, and contractors from any claims, damages, liabilities, costs, or expenses arising from:

  • unlawful use of the platform;
  • breach of these Terms;
  • infringement of third-party rights;
  • customer data uploaded or processed through the platform;
  • customer communications sent using the platform.

19. Limitation of Liability

To the fullest extent permitted by law, Intelligence Software Ltd shall not be liable for:

  • loss of business opportunities;
  • loss of goodwill;
  • loss of data.

Our total liability relating to the services shall not exceed the total licence fees paid by the customer during the twelve (12) months preceding the event giving rise to the claim.

Nothing in these Terms excludes liability that cannot legally be excluded under applicable law.


20. Warranties Disclaimer

The services are provided “as is” and “as available”.

Except where prohibited by law, we make no warranties or guarantees regarding:

  • uninterrupted availability;
  • compatibility;
  • fitness for a particular purpose;
  • accuracy of AI-generated content;
  • operation of third-party integrations.

21. Privacy

Use of the services is also governed by our Privacy Policy.


22. Governing Law and Jurisdiction

These Terms and any dispute arising from them shall be governed by and interpreted in accordance with the laws of Northern Ireland.
